Administrative Meeting Minutes
October 6, 2003

Present: Renee Meehan, Shelia Spicola, Gary Brown, Dennis Cavanaugh, Lee Medart, Lorraine Smith, Lisa DeVitto, and Phyllis Pacyna.
Absent: Jeffrey Siewert, Pam Tayon, Renae Tvedt (excused) Charner Reese
Call to Order
Meeting was called to order at 6:40 pm. Quorum was met later in the meeting.
The meeting was planned as a short 1-hour meeting to talk about planning for the Open House. The Chair turned the meeting over to Lisa DeVitto to follow the Agenda for the evening.
1. Possibility of holding morning and evening Community Meetings, or any other meeting variations. The suggestion was discussed and was left with the approval of DI Baptist Church as to whether we could meet in the morning of November 20 as well as that evening in the Church or could the church loan us the building on the following Saturday morning. Lee Medart will report the outcome of the Pastor’s meeting at the next meeting of the Task Force.
a. Discussed having a “road show” after we have the program together and visit major stakeholder organizations and put on the “show” in their facilities or in the Village.
2. Publicity arrangement ideas – Newspaper, newsletter, posting of signs, etc.
a. Publicity – Shelia Spicola suggested that we get other ideas for publicizing the meeting.

Newspapers – South Tampa front Page (St. Pete Times; Tampa Tribune)

Organizations to alert their members of the our meetings – Email our picture along with the story to Organizations; interested people that we have on our data base; send it to the Newspapers; Signs on the Islands*; suggestion: put a really big banner on the Tower at the Apex; Table cards on all restaurant tables for the week before; PowerPoint presentation at the DICA meeting (Gary to call Rudy to ask); Handouts at DICA meeting; Dennis offered to make copies of flyers and get them handed out if someone would provide the flyer.
3. Recruiting residents and stakeholders to attend: e.g. “telephone trees,” notices to stakeholder organizations, other options.
4. Recruiting volunteers to help staff the meeting. The Chair reported that this was not a problem in that we needed about 10 people and there was a list of names from which we drew for each “open-house” meeting.
5. Type of signs we want and who will volunteer to make them.
a. Jeffrey to check on supplying the signs
6. What other supplies or materials will be needed (name tags, sign in sheets) and how to obtain them – Planning Commission, if available, or if not, how to borrow, purchase, etc. Primarily provided by the Planning Commission.
7. Any other issues Phyllis reported on William Porth’s conversation with her. His department is doing Traffic Generation updates because they haven’t been done in years.
A traffic meter was on West Davis last week as part of this effort. He was most interested in meeting with the community on having a traffic study for the Islands and offered his support in anyway possible. He also said that there was a possibility of getting some funding.
Phyllis would like two of the task force people go an talk with him so that it can be more on record than just her telephone conversation. He possibly would be willing to be at our open house and tell the community what he could do for them and she feels that it would be a very big “plus” in having him there.
It was decided to use him as a “Hook” for the beginning of the “Planning meetings” in January, 2004.
8. Begin to get an idea of who will volunteer for which tasks. (See Above)
